Our client who are a global leader dedicated to developing innovative therapies for rare genetic diseases are searching for an experienced Executive Assistant/Administrative Assistant to join their teams in London. The client are driven by a passion for improving the lives of patients and their families through ground-breaking research and development and are constantly pushing the boundaries of what’s possible in biopharmaceuticals.

Role Overview:
As an Executive Assistant/Administrative Assistant, you will play a pivotal role in supporting our senior managers with various administrative tasks. This includes diary and meeting management, travel and accommodation booking, and processing monthly expense reports. Additionally, you will be responsible for attending meetings and providing detailed notes as required.

Key Responsibilities:

  • Proactively manage senior managers’ diaries, identifying and resolving scheduling conflicts.
  • Coordinate travel arrangements and accommodation bookings in accordance with company policies.
  • Process monthly expense reports accurately and efficiently.
  • Provide administrative support during meetings, including note-taking and action item tracking.
  • Collaborate closely with the immediate team, ensuring seamless communication and support.

Requirements:

  • Quick learner and self-starter, capable of adapting to evolving requirements.
  • Strong time management and prioritisation skills.
  • Minimum 5 years of relevant experience in similar roles, preferably within the pharmaceutical industry.
  • Experience working remotely within a cross-functional matrix and across multiple time zones.
  • Proficiency in Microsoft Office Suite, SAP Concur Travel & Expense, DocuSign CLM, Coupa.
